How to Setup and Manage an Event or Collection

If you're using Bottlebooks as an organizer or partner, then it's vital that you understand how to create a new event or collection. You can do this

by creating a new event or collection or
by copying from an existing one.

Create a New Event or Collection

If you wish to create an event or collection from scratch, the Bottlebooks team will do that for you. You can request it by contacting us at support@bottlebooks.me.

Duplicate an Existing Event or Collection

This is the easiest method to follow in case the event or collection you want to create is similar to one that you've already created.

| This will only duplicate the registration's settings. The exhibitors can only be copied once the registration is set up. You can refer to Adding or Removing Exhibitors from Your Event or Collection for details on this.

Just follow these steps to get it done:

On the Requests & Events page, open the event or collection you'd like to copy.
Go to Settings.

Testing Your Event or Collection with a Test Account

When you're done setting up your event or collection and feel ready to make it available to exhibitors or suppliers, we recommend that you first test it to check that everything is working properly and that the user experience matches your expectations.

If you haven't finished setting up your event or collection, make sure to complete it before proceeding. See How to Set Up and Manage an Event or Collection for guidance.

You can verify that your event is fully ready by using a test account.

The Bottlebooks team will create a test account for you. You can request it by contacting us at support@bottlebooks.me.
Then, open your event or collection and click on Add Exhibitor or Add Partner.
Search for your test account and select it.
Go to your request's Settings page, then Overview and make sure your its status is marked as Live.
Switch to your test account. Scroll to the top right corner and click over your logo or first letter of your brand. Then, click on Switch Business Profile.

E-Labels Master Guide

Learn how to fulfill the European regulations on wine ingredients and nutritional labeling.

To help consumers make informed choices, the EU now requires that wine labels include both nutritional information and an ingredients list. Producers are allowed to provide this information digitally, using a QR Code that links to an E-Label.

“In order to provide a higher level of information to consumers, the compulsory particulars… should include a nutrition declaration and a list of ingredients. However, producers should have the option of limiting the contents of the nutrition declaration on the package or on a label attached thereto to only the energy value and of making the full nutrition declaration and the list of ingredients available by electronic means, provided that they avoid any collection or tracking of user data and do not provide information aimed at marketing purposes.” EU REGULATION (EU) 2021/2117

After setting up your event or collection and adding your exhibitors or suppliers, you'll need to communicate with them efficiently. To help you with that, Bottlebooks allows you to send messages directly from the platform, whether you're sharing important information or reminding them to complete their registration.

To send a targeted message, follow these steps:

Open your registration, on the Partners page.
Click on Message.
On the drop-down menu, select your target audience and, on the textbox, edit your message.
Once you're done, click Preview to see how it will appear to the exhibitors or suppliers.
Once you're happy with your message, click Send.

Example: If you wish to contact only those exhibitors or suppliers who have not yet begun their registration, select Not Started on the menu and then send your targeted message.

If you'd like to send a message to one or more specific exhibitors or suppliers:

Adding or Removing Exhibitors from Your Event or Collection

As an organizer or partner, you're able to manage your event or collection's exhibitors. This includes adding new exhibitors or suppliers and removing ones that no longer apply.

Before managing exhibitors or suppliers, you need to set up and configure your event or collection. See How to Set Up and Manage an Event or Collection for guidance.

Add Exhibitors or Suppliers

If you're not sure about who will be registering for your event or collection, then you're dealing with an Open Collection - which means that anyone can register. To accomplish this, you need to get the registration link and send it to everyone you'd like to invite.

If you already know who will be registering, then here's how to add them to your event or collection:

On your Requests & Events page, open your event.
Click on Add Exhibitor or Add Partner, on Partners.

If you have no exhibitors/partners yet, it will look like this:
