Types of Information Requests

If you're using Bottlebooks as an organizer or partner, there are several types of information requests you can create, each designed for a different purpose.
In this article, you'll find:

How to Create an Information Request

  1. Log in to Bottlebooks.
  2. You'll land on your main page, Requests & Events.
  3. Click on Create new, on the top right corner.

  1. This will open a small tab with all the available options. Select the type of information request you'd like to create.

Request

A Request lets you collect profile and product information from your partners.
It's usually a long-term project: rather than a one-time submission, partners keep coming back to update their products whenever something changes, so the information you receive stays up to date.

What you can do with it:
  • Collect profile and product information from your partners.
  • Keep a continuously updated source of product information - for example, to feed your website.

Who it's right for:
  • Retailers who need up-to-date product information from their suppliers.
  • Anyone who needs product information on an ongoing basis, rather than for a specific date.

Event

An Event lets exhibitors register for one specific event and submit the products they'll be presenting.
Unlike a Request, an Event is tied to a date: there's usually one per year for each event, with a set deadline for exhibitors to complete their registration.

What you can do with it:
  • Register exhibitors for a single event.
  • Collect the profile and product information you need for that event.
  • Set a deadline for registrations.
  • Add the event's dates and location.

Who it's right for:
  • Organizers of trade tastings, fairs and other events that take place on a specific date.

Event Group

An Event Group brings several related events together in one place, so exhibitors can find them all at once and complete a registration for each event they'll be taking part in.

Because these events are connected, Bottlebooks helps you keep them consistent. Whenever something doesn't match, you'll see a warning with a one-click fix, so you don't have to go through each event individually:

  • Status - when you change the status of the Event Group (to Live, Hidden, etc.), you can apply the same status to all of its events.
  • Deadlines - if an event's deadline doesn't match the Event Group's, you can update all of them at once.
  • Registrations - if exhibitors have registered in one of the events, but not in the Event Group, you can import them into the group.

Who it's right for:
  • Organizers running a series of related events, such as a tasting tour across several cities or countries.
  • Wine associations that organize several events throughout the year.

Pre-Registration

A Pre-Registration works much like an Event Group, but it's a lot lighter: exhibitors don't complete a full registration. They simply select which events they'd like to participate in and, once they do, they're automatically added as exhibitors to each of those events. That's it - there's nothing else for them to fill in at this stage.

This is especially useful for events that are still some time away. Instead of collecting interest through an external form and then adding each exhibitor to every event manually, you only need to send a single link. When it's time to open the registrations, the exhibitors are already added to each event, so there's no additional setup needed.

What you can do with it:
  • Share one link where exhibitors can select the events they want to join.
  • Show each event's dates and location, so exhibitors know exactly what they're signing up for.
  • Keep the status of the Pre-Registration and its events in sync, with one-click fixes.

Who it's right for:
  • Organizers planning several events in advance - for example, gathering interest in next year's trade events.
  • Wine associations and organizers who currently collect participation interest through external forms.

Event List

An Event List is a public page showcasing your events. Unlike the other types, it doesn't collect information from exhibitors - instead, it gives you one public link that you can share with anyone, or add to your website, to show your upcoming events.

What you can do with it:
  • Choose which events appear on the list.
  • Display each event's dates and location, including the venue name, address and a Google Maps link.
  • Add your own tags to organize your events however you like - for example, by region (Europe, Asia, etc.).
  • Let visitors browse your events by month or by tag.

Who it's right for:
  • Organizers and wine associations who want to promote their calendar of events publicly.

The dates and location shown on the Event List come from each event's Overview, so make sure they're filled in.
