Promoting Your Event Directory

Just like a printed tasting booklet, an online directory only has value if it’s seen and used.
Once your online event directory is ready, it’s important to actively promote it to your:
vistors
and exhibitors.

For Visitors



Announce the Directory via E-mail

As soon as the directory is live, send your visitors an email with a short explanation and a direct link. Here's a suggestion you can adapt:

Browse our Digital Catalogue
> We are reducing the amount of printed tasting booklets being offered at our event this year, by offering what we think to be a better alternative: a personalized digital catalogue.
- Search and Find: Discover exhibitors and the wines you want to taste.
- Bookmarks: Save your favorites with one click.
- Tasting Notes: Take notes directly on your phone during the event.
- Export: Download your personal list as a PDF or Excel file after the event.

Include the Directory in All Communications

Add a short message and the directory link at the bottom of all your emails to visitors. For example:

Post-Event Follow-Up

After the event, send a thank you e-mail and remind visitors they can still access their saved bookmarks and tasting notes:

Download Your Notes
> Export your personal list as a PDF or Excel file, including all the tasting notes you took.

Pre-Event E-mail

Encourage exhibitors to review and share their profiles ahead of the event:

At the Event


QR Codes at the Venue
Place QR codes prominently at the entrance and throughout the venue — just as you would with printed catalogues. Ensure they’re clearly visible and easy to scan.
QR Codes for Stands
Provide each exhibitor with a personal QR code for their stand. Visitors can scan to quickly access exhibitor pages and product details.



Post-Event E-mail

After the event, share performance statistics from the directory with your exhibitors, so they can see how many people searched for their profile and products.
