How to Setup and Manage a Product Based Request

A Product Based Request is is a type of Bottlebooks request, in which you ask your partners to provide information for a specific list of products, typically those they regularly supply to you.




Setup a Product Based Request


In order to begin a Product Based Request, you'll need to provide Bottlebooks with a Masterlist that includes the following:

Description

External ID

Mandatory

A unique identifier for the product. This can be your internal ID or any consistent code.

Product Name

Mandatory

The name of the product.

EAN Code

Optional

The barcode of the product.

Vintage

Optional

The vintage of the product (if applicable).

Supplier Name

Mandatory

The company or winery that supplies the product.

Supplier Contact

Mandatory

The name and email of the person responsible for providing the data.


We will use this Masterlist to configure the request and link each product to the appropriate partner.



Request an Additional Product


  1. Open your event or collection.
  2. On the Partners page, click on the partner who you want to request a new product from.


  1. Click on Products.


  1. Click on Request Product.


  1. Fill in the product details and click on Save.


The request of the new product will now appear on the partner's registration.


You should notify them that there's a new request and that their registration needs to be updated. For details on this, please refer to How to Request Updates for Missing Information.



Match and Unmatch Products


How to Match a Product

In some cases, a partner might add a product manually without matching it to one from your original list. These unmatched products will appear as separate entries, which you can match yourself.


  1. Open your event or collection.
  2. On the Partners page, click on the partner whose products you'd like to review.
  3. Go to the Products page.
  4. Locate the unmatched product.
  5. Click on Match product. This will open a new page.
  6. Search for the correct product:
  • using the search bar.
  • in Portfolio, by clicking on Add from Portfolio.



  1. Once you've found the right match, click on Select and then Done.


  1. The product will now appear marked as Matched, in green.


How to Unmatch a Product

If a product has been incorrectly matched, you can revert the match.


  1. Open your event or collection.
  2. On the Partners page, click on the partner whose products you'd like to review.
  3. Go to the Products page.
  4. Locate the mismatched product.
  5. Click on More.
  6. Then, click on Unmatch product.
