Managing the Data Collection Process in a Registration

After setting up your event or collection and adding your exhibitors or suppliers, the next step is to manage the data collection process.

We recommend planning your collection over a 4 week period, followed by 1 to 2 weeks for final review and post-deadline updates.




Send the Initial Message


To begin, send your initial message or a reminder to your participants.


  1. Open your event, on the Partners page.
  2. Click on Message.

  1. On the drop-down menu, select your target audience and, on the textbox, edit your message. You can choose whether to message everyone or only specific groups (“Not Started”, “In Progress”, or “Complete”).
  2. Once you're done, click Preview to see how it will appear to the exhibitors or suppliers.

  1. Once you're happy with your message, click Send.

Your partners will receive an email with a link to enter the collection and complete their submission.

Follow a Consistent Reminder Schedule


To ensure a high response rate and complete data, we recommend sending regular reminders. Here is a suggested timeline:

You can use the same Message feature mentioned previously to send all of these communications.



Track Progress


As information is submitted, you can monitor progress and follow up where needed.


Track Overall Progress
  1. Open your event or collection.
  2. Go to Partners.
  3. On the top right, you'll find a collection overview.


Track Individual Registrations
  1. Open your event or collection.
  2. Go to Partners.
  3. Click on the partner whose progress you'd like to track.
  4. Click on Activity, on the menu below your partner's name.


  1. Here, you'll be able to see all interactions and progress, as well as add your own internal notes.



Review Submitted Registrations


Once a partner has completed their registration, you can review the submitted information.

  1. Open your event or collection.
  2. Go to Partners.
  3. Click on the partner whose registration you'd like to review.
  4. Click on the respective sections, in order to view each one.


  1. Once you're satisfied, you can click on Mark as and then Reviewed, to let your partner know that no further action is needed.
