How to Manage Reference Codes

Reference Codes are a unique internal identifier that you assign to each exhibitor/member or supplier in your Bottlebooks account. These codes are especially useful for aligning data between Bottlebooks and your internal systems or workflows.


If needed, Bottlebooks also supports assigning 2 reference codes to the same partner if, for example, they appear in different systems or have multiple identifiers.


You can import Reference Codes in bulk using Excel.


  1. Open your event registration.
  2. On the Partners page, click on Export list. This will generate and export an Excel file containing your exhibitors' information.


  1. In the exported file, add a new column for/with the stand numbers, next to Company Id.


  1. Copy both columns (for all exhibitors).
  2. Go back to Bottlebooks.
  3. Open your event registration.
  4. Go to Settings.
  5. Click on Admin tools and then on Import reference code.


  1. On the text box, paste the data you've copied from the Excel file.
  2. Tick the box stating if your data has a header row.
  3. Click on Next step.


  1. Assign the column headers to the proper fields.
  2. Then, click on Next step.


  1. Review the information entered and, once satisfied, click on Import.


  1. Your import will be complete.
