If you're using Bottlebooks as an organizer or partner, then it's vital that you understand how to create a new event or collection. You can do this

by creating a new event or collection or
by copying from an existing one.

Create a New Event or Collection

If you wish to create an event or collection from scratch, the Bottlebooks team will do that for you. You can request it by contacting us at support@bottlebooks.me.

Duplicate an Existing Event or Collection

This is the easiest method to follow in case the event or collection you want to create is similar to one that you've already created.

Just follow these steps to get it done:

On the Requests & Events page, open the event or collection you'd like to copy.
Go to Settings.

Click Duplicate, on the bottom left corner of the page. This will immediately create a "copy of" Event or Request.

Now, go to Overview.

Once here, it's important that you update certain elements:

Testing Your Event or Collection with a Test Account

When you're done setting up your event or collection and feel ready to make it available to exhibitors or suppliers, we recommend that you first test it to check that everything is working properly and that the user experience matches your expectations.

If you haven't finished setting up your event or collection, make sure to complete it before proceeding. See How to Set Up and Manage an Event or Collection for guidance.

You can verify that your event is fully ready by using a test account.

The Bottlebooks team will create a test account for you. You can request it by contacting us at support@bottlebooks.me.
Then, open your event or collection and click on Add Exhibitor or Add Partner.
Search for your test account and select it.
Go to your request's Settings page, then Overview and make sure your its status is marked as Live.
Switch to your test account. Scroll to the top right corner and click over your logo or first letter of your brand. Then, click on Switch Business Profile.

Generating Your Event or Collection's Registration Link

Once your event or collection is ready and live, it's time for your producers or partners to complete their registration. For that to happen, you need to contact and direct them to your event or collection through the registration link.

If your event or collection isn't created or ready, you need to cover that first. See How to Set Up and Manage an Event or Collection for guidance.

Here's how you get the registration link:

Open your event or collection.
On the Partners page, under Exhibitors/Partners, click on Copy registration link.

This way, your link will automatically be copied and you can just paste it into the invitation e-mail you'll send to wineries.

| Remember that your event/collection's status (live, private or hidden) directly impacts who can register through this link. You can revisit that on Managing Your Event or Collection Settings.

Sending Targeted Messages to Exhibitors or Suppliers

After setting up your event or collection and adding your exhibitors or suppliers, you'll need to communicate with them efficiently. To help you with that, Bottlebooks allows you to send messages directly from the platform, whether you're sharing important information or reminding them to complete their registration.

If you haven't completed the first steps, then you should do that first. See How to Set Up and Manage an Event or Collection for guidance.

To send a targeted message, follow these steps:

Open your registration, on the Partners page.
Click on Message.
On the drop-down menu, select your target audience and, on the textbox, edit your message.
Once you're done, click Preview to see how it will appear to the exhibitors or suppliers.
Once you're happy with your message, click Send.

Example: If you wish to contact only those exhibitors or suppliers who have not yet begun their registration, select Not Started on the menu and then send your targeted message.

If you'd like to send a message to one or more specific exhibitors or suppliers:

Managing Your Event or Collection Settings

So, you've created your new event or collection and have already followed our instructions in order to set up its name, the deadline and the registration instructions. Now, it's time to move forward and modify all the parameters available on Settings. If this isn't the case, please go back and properly create your event. In Bottlebooks, you're able to edit the following features to your liking:

Status
Additional Language
Downloadable Documents
Limits and Contacts

Shipping

To start, you should open your event and go to the Settings page.

Event or Collection Status

You can set your event or collection to 4 different status by going to Overview. This setting affects who can see the event and how producers can register.

Live:

The event or collection is visible on the homepage of all producers who have been added as exhibitors.
Anyone with the registration link can access and complete the registration.

Private:

The event or collection is visible on the homepage
